Attendance Submission Checklist
Remember to check the following items before trying to submit your attendance for payment processing.
- Did you enter attendance for every day of the month?
Whether the children attend your care on a given day or not, attendance must be entered in the form of time-in / time-out information, absences, or closures. - Are there holidays within the service month?
Voucher Programs will see a pre-populated list of holiday closure days in their profile. These holidays follow the DOE school calendar. If your program has additional holidays, you can enter additional closure days in your profile. However, if your program is open and providing care on one of the scheduled holidays, please submit a full list of your program's closures (July 2022-June 2023) on program letterhead with your ACCIS ID number(s) to VoucherCCProgramClosures@acs.nyc.gov, and they will be updated in your CAPS Online account.
Licensed and legally exempt home-based providers must manually enter holidays in CAPS Online as closures by clicking the "Closures" option in the Provider drop-down menu.

On the Monthly Attendance Submission page, check the "Status" column furthest to the right (see Image 12.1). Records that are ready to be submitted will say Completed and you must click the certification checkbox at the bottom of your screen and then click the "Submit" button at the bottom.

If your records have a different status, please see below:
- Incomplete: You're missing at least one day of attendance. Click on the pencil icon in the Action column to the left of the child's name [Image 12.2], and a calendar will pop up, showing the day(s) missing attendance in red [Image 12.3]. You must enter a time-in/time-out, absence, or closure for each day of the month in order to submit your attendance.

Once you fill in the attendance for the missing days shown in red, you'll be able to submit your attendance. In the example below [Image 12.3], attendance is missing for December 1, 2, 5, 6, 12, and 16.
Image 12.3 - Non-submittable: There are a few different things that can trigger non-submittable records, such as changes to enrollment, parents' fees, or closures. In this case, please wait one business day before trying to submit your attendance.
