A child is transferring between two of my own programs:
- Stop entering attendance in the first program’s CAPS Online as of the child’s transfer date, and drop the child on the Placement Roster page.
- As of the child’s transfer date, begin entering attendance for that child in the second program’s CAPS Online account.
- Sometimes there is a delay in the child’s new enrollment appearing in the second program’s CAPS Online account. Even if the child is only appearing on their old program’s roster, you should not continue to enter and submit attendance in that program’s CAPS Online account beyond the transfer date. Wait until the child appears on the roster for their new program.
A child is transferring out of my program and into someone else's:
- Stop entering attendance for that child as of the child’s transfer date, and drop the child on the Placement Roster page.
- Do not enter absences in CAPS Online after the child has transferred out of your program.
- If a child has unexpectedly stopped attending your program, reach out to the parents as soon as possible to determine whether the child is returning to your care. The child may have transferred to a new program, and you cannot claim attendance (even absences) for that child as of their start date in the new program. If the parents confirm that the child will not be returning to your care, drop the child in CAPS Online.
A child is transferring into my program from someone else's program:
- CAPS Online will allow you to enter and submit attendance for the child as of the child’s transfer date.
- You may need to wait for the child to appear on your CAPS Online roster, but you will be able to enter attendance as of the transfer date once the child is enrolled.
